Turning Trigger-Based Outbound into $180K of Estimated Pipeline ARR

A revenue intelligence company's generic outbound was replying at 4%. Rebuilding the campaign around funding, leadership and hiring triggers lifted replies to 16% and produced 42 qualified meetings, 30 SQLs and about $180K in estimated, weighted pipeline ARR.

Problem

The client sold revenue intelligence software to mid-market companies, primarily targeting VP Sales, Heads of Revenue Operations, and CROs.

The existing outbound approach was generating a 4% reply rate, but the messaging was largely generic. The campaign needed a more relevant way to connect the client's solution to what prospects were actually dealing with inside their businesses.

Intervention

I redesigned the campaign around business triggers that indicated a company was going through a change that could affect its sales infrastructure and pipeline needs.

The primary triggers included:

  • Recent funding rounds
  • Executive leadership changes
  • Sudden increases in sales-team hiring

Rather than simply presenting the software, the messaging connected the relevant business event to what that change meant for their sales operation.

For example, a company that had recently raised a Series B and was rapidly expanding its sales team could receive messaging centered on the pipeline and sales-infrastructure demands created by that expansion.

The campaign used email alongside LinkedIn touchpoints, including profile research, connection activity and personalized messaging.

Implementation

I built and optimized the prospecting workflow using:

  • Apollo for prospect data and enrichment
  • LinkedIn Sales Navigator for account and buyer research
  • Salesloft for sequence execution

The campaign covered approximately 1,000 prospects across 400 mid-market accounts.

The optimized multichannel sequence increased the reply rate from 4% to 16% among unique prospects contacted through email and LinkedIn.

The 42 meetings were booked from replies generated by the optimized trigger-based sequence.

My contribution

Company: Outbound Oak

Role: Principal, Outbound & Pipeline Strategy

I was responsible for the outbound strategy, ICP and trigger definition, account and prospect research approach, messaging, sequence structure and campaign optimization.

The client's account executives handled discovery, opportunity management and closing after the initial meetings.

Result

  • 16% reply rate, up from 4%
  • 42 qualified meetings
  • 30 SQLs
  • Approximately $180K in estimated, weighted pipeline ARR, based on CRM opportunity values associated with the campaign
  • 3 opportunities subsequently closed. The client identified those three closed opportunities as originating from the campaign.
  • Those three opportunities represented approximately $60K in closed-won ARR.
  • The campaign used specific business triggers to start more relevant conversations and generate SQLs, with three client-identified opportunities subsequently closing.
  • The results showed the difference between generic messaging and outreach built around specific events inside target accounts.

Lesson

The strongest outbound message is often not about what the company sells. It is about why the prospect has a reason to care right now.
